New Features: New Advanced Event Editor and Recurring Events Manager

We’ve been working on these features for a long time, and in fact we’ve re-written these features twice. That’s a long story and now’s not the time to go into that. But right now, we’re happy to announce that we a NEW Advanced Event Editor is now available which offers a few neat features and also adds support for the Recurring Events Manager features too.

Notable Features of the NEW Advanced Event Editor

The NEW Advanced Event Editor does virtually all the things the old Advanced Editor does but even more. Here is what is even better.

A Modern Interface Using New Technology

You’ll notice that the new design and layout options. You will see that the dates and tickets can be viewed in both a card view or a table view. The card view allows you to see more information at once for each date or ticket. While the table view allows you to see more information for more dates and tickets at the same time. So, you can change the layout of the date and ticket editors to fit how you want to see the information.

The Card View dedicates more screen space to granting you quicker access more controls and edit more information.

Example Table View

The Table view minimizes screen space so you can see more rows of information in a consistent format that is easier for comparison.

Filters

You can now filter dates and tickets by the following rules:

  • Date
  • Status (Upcoming, Active, Next, Sold Out, Expired, Trashed, etc)
  • Capacity full
  • Custom order (ID, Name, Start Date, etc.)

These filters allow you to find dates and tickets more easily. But be careful, if you can’t find a datetime or ticket like you expect, be sure to check which filters are applied. These filters become more and more important and helpful when you manage more dates and tickets, especially with recurring events (more about that later).

Bulk Actions

Bulk actions allow you to edit parts of the dates or tickets for all dates or tickets or dates and tickets in a recurring series.

From there you can edit/add/trash Datetimes and Tickets. This is powerful for event organizers with multiple dates and tickets, especially when using recurring events.

Per-datetime or Per-ticket Lists

With the traditional event editor, you would have to export the list of attendees for the whole event, or all events, to get a list of attendees. From there, you would have to use a spreadsheet program to filter or sort the list of attendees by ticket type (name). Now, with one click you can get a list of attendees that have purchased a certain ticket or signed up for a certain datetime.

While using the  Card View, click the number above the “sold” label:

While using the Table View, click the “Registrations” icon:

A new tab will open with the filtered list. To export the filtered list of attendees, click the “Filtered CSV Report” button at the bottom of the page:

This can make it easier if you’re hosting an event with a lot of ticket options. For example, if you want to see which attendees signed up to attend a session, or which attendees purchased a certain size of t-shirt. This makes it easier to get the attendee information and number of registrations for just that ticket or date.

Ticket Price Calculator

You may be good at math, but not everyone is good at math. So, we’re making setting prices easier for everyone.

The Ticket Price Calculator feature allows you to set the price of the ticket based on the top line price or the total bottom price. This can be useful when you have price modifiers such as taxes, fees, or discounts that impact the total ticket price.

Calculating Ticket Price From the Top

The total is being calculated normally from the top to bottom starting from the base price. Entering a new ticket base price will recalculate the ticket total after applying all price modifiers. Click to turn on reverse calculations.

Calculating Ticket Price From the Bottom

Ticket base price is being reverse calculated from the bottom to the top starting with the ticket total price. Entering a new ticket total will reverse calculate the ticket base price price after applying all price modifiers in reverse. Click to turn off reverse calculations.

This is very important and powerful if you want to set final price of a ticket first, and let the taxes and fees be reverse calculated.

Support for Recurring Events

The NEW advanced event editor also supports Recurring Events. Recurring Events is a powerful feature for programmatically creating new events with the same type of dates and tickets in the future with dates in the future. We have a new page dedicated to using the Recurring Events tools.

Accessing the Advanced Event Editor

IMPORTANT: New accounts created on Event Smart are automatically configured to use the NEW advanced event editor. If your event website is set to use the OLD event editor, you can switch. To switch to the new editor, navigate to Events > Default Settings > Activate Advanced Editor. Select Advanced Editor and click “save”.

Be sure to click the “Save” button to save your changes.

Notable Features of the Recurring Events Manager

We will soon do an announcement for the Recurring Event features alone, but we wanted to mention these features in connection with the NEW Advanced Event Editor because you may see the Recurring Dates option available when you create new dates.

  • Creating a ticket(s) for each date
  • Excluding dates within a pattern or schedule
  • Starting from Existing Dates
  • Starting from Existing Tickets
  • Schedule Confirmation

For those who the same type of events on a regular basis, the Recurring Events Manager features will be very helpful and will save you time.

Accessing the Recurring Events Manager Features

To access the Recurring Events Manager features you need to subscribe to the Recurring Events Manager à la carte feature OR the Business Plan or in a trial period when you first create an account.

To see the Recurring Dates features: Create a New Datetime

In the Event Editor, you can add a recurring series of events by clicking the Add New Datetime button.

You will then be presented with two options for creating a new event, a single datetime or recurring dates.

From there you will be presented with the option to create recurring dates and tickets in various schedules.
